Perform a variety of administrative duties. These could include:
Primary point of contact for receiving incoming telephone calls, messages and visitors.
Researches and Processes Requests for Information
Prepares and/or assists in research and analysis of requests for information, special projects and reports requested by Transmission, other departments and third parties. Involves researching, analyzing and compiling data.
Maintains general office supply inventory and procures as necessary through vendor designated by Company.
Administer and process records and documentation related to the various methods of procurement. Maintains necessary procurement process paperwork and files. Receives for delivered freight. Procures pickup of freight, assures proper packaging, completes associated paperwork, and processes freight bills for payment.
Verification, prioritization, coding and distribution of invoices and employee expenses into corporate systems for processing. May function as Region administrator for A/P systems and processes. Investigate, and respond to questions and problems from vendors, employees, and other internal departments. Maintain logs, records, and a filing system necessary to meet Company auditing requirements.
Verifying the correctness of invoices/expense reports is achieved by checking price extensions and totals; verifying correct sales tax assessment; and checking approval authority signature levels. If any discrepancies are identified, it could be the assistant’s responsibility to contact the vendor/employee.
Time Reporting System
Input time sheets into the time reporting system and adds/deletes/revises accounting as necessary. Reviews and determines validity of pay codes and accounting in accordance with Company pay policies and procedures. May function as Region administrator for time reporting systems and processes.
Coordinates and maintains training course requests through the use of a networked application. Works with employees and Training & Development department to schedule training classes.
Process Various Forms and Reports
Prepares, checks, processes and/or assists with various operating reports required to comply with Company and/or governmental agencies. May include O&M and Capital budget variance reports, personnel reports/documentation, vacation schedules, employee counts, overtime, DOT compliance schedules, environmental, fleet system, fuel usage, engine hours, aerial reports, encroachments reports, gas loss reports and other miscellaneous plant/field reports as necessary. Also tracks Company Safety Certificate Program.
Maintains All Forms Filing System
Files and maintains various forms, reports and correspondence according to the Transmission Filing Guide. Assists supervision and other employees in maintaining files of Department of Transportation (DOT) forms and reports
- High School Diploma or equivalent
- Two years of general office experience, preferably in the natural gas transmission industry.
- Proficiency in Microsoft Office Products such as Word, Excel, Access, & PowerPoint.
- Possess excellent skills in oral and written communication, problem solving and reasoning as well as interpersonal skills.
- Capable of multi-tasking, handling numerous concurrent activities and working within deadlines.
- College Degree Preferred.
- Demonstrated effective human relations and listening skills to deal effectively with others.
- Demonstrated ability to work independently without the need for on-site supervision and has the initiative and ability to get things done without being directed by others.
- Demonstrated ability to effectively organize and prioritize work in a timely manner.
- Demonstrated ability to interact well with others.
