The Art Institute of Chicago, founded in 1879, is a world-renowned art museum housing one of the largest permanent collections in the United States. An encyclopedic museum, the Art Institute collects, preserves, and interprets works in every medium from all cultures and historical periods. With a collection of approximately 300,000 art works and artifacts, the museum has particularly strong holdings in Impressionist and Post-Impressionist painting, contemporary art, early 20th century European painting and sculpture, Japanese prints, and photography. The museum’s 2009 addition, the Modern Wing, features the latest in green museum technology and 264,000 square feet dedicated to modern and contemporary art, photography, architecture and design, and new museum education facilities. In addition to displaying its permanent collection, the Art Institute mounts more than 30 special exhibitions per year and features lectures, gallery tours, and special performances on a daily basis
Working with program staff from across the institution and external partners, the Project Coordinator will assist in driving a museum-wide effort to increase the number of students from underrepresented groups who enter the art museum field and develop the skills and networks needed to succeed as future curators and arts leaders. This multi-year initiative seeks to have lasting impact on the museum field and is supported by the Ford Foundation and the Walton Family Foundation.
The Project Coordinator, along with the Talent Acquisition Team, supports and advances the museum’s broad recruitment efforts with a focus on expanding awareness of careers within the art museum field amongst high school, college, and graduate students as well as recent graduates. Participates actively in cross-departmental working groups and keeps project leadership and museum leadership abreast of programmatic progress. Works with departmental staff to build and foster an alumni community of interns and fellows and maintains an active presence on the alumni platform. Develops and maintains contact with community partners, schools, and organizations to supplement recruitment sources in order to broaden the diversity of the student/ applicant pool.
Primary Duties and Responsibilities:
- In concert with the Talent Acquisition Coordinator, posts advertisements for vacant internship positions in a timely manner through university websites, career centers, listservs, and community partners.
- Assists with the development of technology-based platform for communication with interns and alumni.
- Proactively conducts outreach, visiting schools, supporting partnerships, participating in career fairs, reaching out to career counselors, and partnering with SAIC career development staff as appropriate. Works with staff to convene and maintain ongoing communication with external partners and advisory group members, including academic institutions and cultural organizations, with sensitivity to overlapping and multifaceted external relationships.
- Works with program staff in the departments of Learning and Public Engagement and Academic Engagement and Research to develop consistent, equitable, and appropriately specific practices across the museum for intern selection criteria; a unified and flexible schedule for intern intake and programming; work plan templates; and application, interview, selection, and evaluation processes for intern positions.
- Supports staff as needed in the creation of work plans, maintains documentation of work plans, and tracks activities of mentors and interns against work plans.
- Works with staff across the museum to develop and implement consistent and appropriate internship practices, timetables, and processes and to assist in the development and implementation of mentor training for museum staff. Establishes a series of regularly scheduled programming and events that develop career competence among students and intern alumni.
- Working with the Talent Acquisition Coordinator, the Project Coordinator will develop and cultivate relationships with interns across the museum beyond their departmental placements; regularly update technology-based platform that help build community for interns and alumni and that sustain relationships with the museum and among individuals.
- Promotes and communicates deadlines, learning and leadership development programs, events, and both internships and job opportunities at the museum and at partner organizations with the support of technology-based platform and direct communication.
- Coordinates budget under the close supervision of project leadership; maintains accurate and up-to-date records of non-staff project expenses and other participating areas.
- Contributes to project evaluation and reporting, including maintaining and analyzing human resources data.
- Coordinates with Human Resources on the gathering, aggregation, and analysis of alumni data.
- Participates in existing and new institution-wide equity and access initiatives, and attends relevant job-related professional development opportunities to elevate and share the Art Institute’s practices and to build the museum’s networks.
Bachelor’s degree and at least three years of project management or closely related experience, including budget management, preferably in Human Resources or an equivalent combination of education and experience.
Demonstrated experience working with and maintaining confidential information. Ability to manage and complete projects, including the ability to adapt to changing priorities and schedules.
Demonstrated commitment to promoting access to community or educational resources and to advancing equitable participation in society.
Excellent communication skills: oral, written, and interpersonal, including a proven ability to thoughtfully work with individuals from a diverse range of backgrounds and abilities. Aptitude for proactive, self-directed and collaborative work; ability to work flexibly as part of a team.
Familiarity with standard computing applications, including MS Office Suite and Google platforms; familiarity with database systems and technology platforms highly desired.
